About The Dam

The Dam is a Mississauga-based youth non-profit that has been building community with young people since 1995. Operating out of two locations in Meadowvale and Cooksville, The Dam runs free drop-in programs, outreach initiatives, workshops, and mentoring for youth. Our wraparound approach starts with relationships—through drop-ins and outreach, we meet youth where they are, then walk alongside them through mentoring and support that go deeper. We are known for showing up consistently and for the long haul, creating safe spaces where youth are welcomed, valued, and respected, regardless of background.

About the Role

As an integral part of the management team of The Dam, the Operations Manager reports to the Executive Director. Involved with most essential aspects of daily operations, the Operations Manager is the strategic link between the vision and execution of our strategic plan. The Operations Manager has primary responsibility for managing and coordinating organizational operations within and across several functional areas including finance, human resources, communications, office administration, information technology, and facility maintenance. You do not need to be an expert in all of these areas. However, you must be a strong strategic leader who can work effectively through people, establish clear priorities and accountability, support and develop team members, and confidently get your hands involved in the details when needed. While you may rely on the expertise of others in some areas, you are accountable for ensuring all operational areas are effectively led, coordinated, and aligned with the organization's strategic priorities.

Role Responsibilities

Strategic Planning and Management Team

  • Provide leadership for the finance, fundraising, marketing, human resources, IT and facilities areas
  • Foster a sense of ownership, belonging, and engagement among current and prospective participants, strengthening connections between youth and the community.

As part of the Management Team

  • develop key strategies for the organization including fundraising, marketing, human resources and finance
  • support The Dam as an integral community partner
  • develop and maintain project plans and systems that ensure alignment, accountability, and clarity around timelines, goals, and reporting for relevant stakeholders

Finance and Risk Management

  • Monitor, review and communicate program and project budgets by maintaining effective protocols for recording and tracking financial and statistical data
  • Monitor and evaluate program budgets in collaboration with staff
  • Monitor the execution of revenue strategies and streams
  • Oversee financial processes with the finance staff to ensure accurate reporting, compliance, and effective financial management
  • Coordinate communications, programming and operations to anticipate internal and external risk
  • Ensure the appropriate policies and procedures are in place for safety, clarity and adherence to legislation
  • Using third party provider, process all payroll and benefits with no errors, and ensure all data and information are kept up to date
  • Prepare monthly reports and statistics

Human Resources and People Management

  • Provide effective leadership, setting of accountabilities, coaching and support to all direct reports
    Ensure development of effective human resources policies and best practices in response to the organization's identified needs
  • In partnership, lead the recruitment, selection and onboarding processes for new employees
  • In partnership, administer the annual employee performance review process
  • Serve as general HR executer on other key areas related to the organizational HR strategy
  • Ensure that employment related policies stay up to date
  • Ensure employee benefit program is executed well, and review plan and components every two years
  • Support the Program Coordinators by developing effective tools and protocols for ensuring that youth and interns within The Dam have a meaningful learning experience

Fundraising and Marketing

  • In partnership with the Executive Director, develop, implement, and execute annual fundraising and marketing strategies that support organizational priorities and sustainability.
  • Ensure the organization's marketing and communications activities, including social media and website content, are timely, relevant, and aligned with strategic objectives and brand standards.
  • Research and respond to all applicable grant opportunities.
  • Ensure funder and stakeholder reporting is accurate, timely, and aligned with organizational goals, outcomes, and reporting commitments.

Facilities and IT

  • Lead the support systems required for effective and efficient financial tracking and reporting (Quickbooks), database (Salesforce), and communications (voice, digital, online) needs of the organization, its staff and volunteers
  • Oversee the ongoing facility development, security and maintenance requirements of our two sites to remain compliant with regulatory requirements
  • Management and maintenance of The Dam’s IT infrastructure and technology resources

Accountabilities

  • Grant applications and reports are completed and submitted a minimum of two weeks in advance of deadlines whenever possible, with no missed reporting or application deadlines.
  • Financial reporting is accurate, complete, and submitted in a timely manner to support effective organizational oversight and decision-making.
  • Successful annual audits and ongoing compliance with all applicable regulatory, legal, contractual, and funder requirements.
