Overview

The Operations Manager is a core member of The Dam’s management team, reporting directly to the Executive Director. This role oversees the day-to-day operations of the organization across multiple functional areas, including finance, human resources, communications, information technology, and facilities. The Operations Manager serves as the operational link between organizational systems and The Dam’s broader strategic priorities. As part of, and in collaboration, with the management team (currently the Executive Director & Operations Manager), the Operations Manager ensures that organizational practices, systems, and decision-making consistently reflect The Dam’s mission, vision and core values and are reflected across all areas of work.

Primary Duties and Responsibilities

Financial

  • Monitors and evaluates program and project budgets in collaboration with staff.
  • Monitors the execution of revenue strategies and income streams.
  • Oversees financial processes in collaboration with the finance department to ensure accurate reporting and compliance.
  • Maintains effective protocols for recording and tracking financial and statistical data.

Supervisory

  • Leads development and delivery of HR policies, training, and professional development in collaboration with the management team.
  • Oversees human resources functions and maintains organizational policies, procedures, and best practices.
  • Oversees organizational communications to support consistent execution of strategic priorities.
  • Manages IT infrastructure and technology resources.

Operations & Administration

  • Supports effective use of organizational systems including Quickbooks, Salesforce, and digital/voice communications platforms.
  • Oversees facility development, security, and maintenance across multiple sites to meet municipal and provincial regulatory requirements.
  • Provides administrative and operational leadership across bookkeeping, data management, planning, and reporting functions.
  • Coordinates communications and programming to anticipate and manage organizational risk.
  • Supports Program Coordinators in developing tools and protocols for intern placements.

Planning & Alignment

  • Collaborates with the senior management team to develop and maintain workplan systems that ensure accountability and clarity around timelines, goals, and reporting for staff, finance, and grant teams.
  • Monitors and communicates critical information related to organizational systems, processes, reporting requirements, facilities, and equipment.
  • Builds and maintains strategic alliances with key stakeholder groups to strengthen The Dam’s presence and partnerships in the community.

Other Duties

  • Carries out any and all tasks as assigned by the Executive Director in support of the organization.

Qualifications and Experience

  • Minimum two years of management experience, including staff supervision and facilities oversight an asset; non-profit or youth-serving sector experience preferred.
  • Demonstrated experience in project management, budget management, and income generation.
  • Proficiency with Quickbooks and Salesforce, or equivalent financial and database systems.
  • Strong problem-solving, delegation, coaching, and conflict resolution skills.
  • Ability to think strategically and execute effectively across multiple concurrent priorities.
  • Demonstrated alignment with The Dam’s mission, vision, and core values.

Accountability

The Operations Manager is accountable to and supervised by the Executive Director.

Working Conditions

  • Full-time, 40 hours per week.
  • Primary work locations include home office and drop-in sites.
  • Some travel required for meetings, training, conferences, and visits to partner drop-ins.
  • Peak periods: Fall (AGM, Awards & Auction), Winter (Annual Fundraiser, Christmas), Spring (Audit).
